WhatsApp for businesses, in plain language
When Meta changes what WhatsApp costs or allows, we explain what it means for a business that answers customers on it. Every guide is written from Meta's own documentation and says when it was checked.

When an AI agent on WhatsApp hands a customer to a person: Meta-commissioned research on context, the repeat-yourself test, and the escalation paths WhatsApp requires
Two articles IDC wrote for Meta's WhatsApp Business blog in August and September 2026, sponsored by Meta, argue that an AI agent on customer chats wins or loses trust at the handoff, and that what carries trust across it is context: the facts, the signals, why the customer is writing now, and what was already offered. Beside them, WhatsApp's live chat guide and the WhatsApp Business Messaging Policy, whose Business Platform terms let a business automate replies only if a prompt, clear and direct way to get help is there too. What each page says, where they pull in different directions, and what to decide before the first handoff. Read for the owner, not the developer.

Asking Meta's AI about the ads that bring you WhatsApp chats: Meta AI business assistant in Ads Manager, a restricted ad account, and why Ads Manager has the final word
Meta AI business assistant is a chat inside your Meta ad account that Meta says can analyse campaigns, compare your results with your industry, recommend budget and audience changes, and help with a disabled ad account, delivery errors or a spend limit. What Meta's help article, product page and terms say it does, where to find it, where Meta's own pages disagree about who has it, what Meta asks of you when an ad account is restricted, and the line in its supplemental terms every owner should know: Ads Manager, not the assistant, is the source for your ad numbers. Read for the owner, not the developer.

Why Meta shows your WhatsApp ad to one person and not another: the ad auction, Meta's ranking AI, the learning phase and the edits that reset it
Every time someone could see an ad on Facebook and Meta's other technologies, Meta runs an auction, and its machine learning predicts which ad that person is most likely to act on. What Meta's Business Help Center says decides the winner (your bid, Meta's estimate of whether the person will act, and ad quality), what Meta said in March 2025 about the AI systems behind its ad ranking, why a new or edited ad goes through a learning phase, which edits send it back, what Learning limited and Creative fatigue mean, and how to read the three relevance rankings in Ads Manager. Read for the owner whose WhatsApp chats start with an ad, not the developer.

What your WhatsApp ad appears next to: Meta's AI content labels, the inventory filter, block lists and delivery reports
An ad that opens a WhatsApp chat sits between other people's posts and videos, and Meta says its machine learning models help label that content, and those labels decide which ads may appear beside it. What Meta's Business Help Center says about how the labels are made, what is always kept away from ads, the three inventory filter settings and what each one lets through, block lists, topic and live video exclusions, the delivery reports that show where your ad ran, and Meta's warning that restricting where your ad shows can limit delivery and raise costs. Read for the owner whose WhatsApp chats start with an ad, not the developer.

Insurance quotes, loan offers and product finders inside WhatsApp: Meta's ready-made Flow templates, photo and document uploads, and the 20-day file rule
An insurer, a lender or a shop can put a short form inside the WhatsApp chat: a quote, a pre-approved offer, or a product finder that narrows a choice by budget and purpose. Meta's developer pages walk through three ready-made templates in WhatsApp Manager (Provide Insurance Quote, Pre-Approved Loan, and Capture interest for a personalised offer), what each screen collects, why live prices need your own system, how customers upload photos and documents into a form, the size and file limits, the 20 days uploaded files stay on WhatsApp's servers, and when a form can be sent first. Read for the owner, not the developer.

WhatsApp catalogs: showing products and taking orders inside the chat
A WhatsApp catalog is your product list, uploaded once to Meta and attached to your business number, so your messages can show a product, a section of products or the whole catalog as a card the customer browses and orders from without leaving the chat. The ways Meta lists to share products, what a customer can do with each product message, the two-to-ten card carousel, and what reaches you when they ask or order; how the shopping cart behaves, what happens when you change a price or sell out, Meta's review rules, and what the catalog does not do (take payment). Written from Meta's catalog pages.

WhatsApp authentication templates: sending login and verification codes the way Meta requires
An app that sends one-time passcodes over WhatsApp must use an authentication template: fixed wording, an optional do-not-share line, an optional expiry of 1 to 90 minutes, and a copy-code, one-tap or zero-tap button. Meta delivers the code to the customer's main phone only, forbids links and emoji, and since June 2026 iOS 26 offers the code above the keyboard. Meta also has a separate authentication-international rate in 18 markets, including the UAE, Saudi Arabia, Kuwait and Oman, but only for very large senders based in another country, after 30 days' notice and depending on the Primary Business Location field. What Meta's pages allow and what to decide before switching codes from SMS.

Blocking a customer on a WhatsApp business number: what it does, the 24-hour catch, and what happens when a customer blocks or reports you
Blocking works two ways on a WhatsApp business number. In the WhatsApp Business app it is a few taps from the chat, with a separate Report to WhatsApp box, and the blocked person can no longer call or message you or see your last seen, online, status or new profile photos. Through a system on Meta's business platform, a person can only be blocked within 24 hours of their last message, up to 1,000 per request and 64,000 in all. What reporting sends to WhatsApp, why a group cannot be blocked, what WhatsApp receives when a customer blocks or reports your business, the signs a customer has blocked you, and Meta's rule that a customer writing first is not permission for later promotions. From Meta's Block Users documentation and WhatsApp's Help Center.

When a WhatsApp customer's phone number stops arriving: usernames, customers from your Facebook or Instagram ads, the 30-day rule, the contact book and the Share Contact Info button
Once a customer adopts a WhatsApp username, Meta may withhold their phone number from the system behind your business number. Meta's rules: the number is still shared if that business number exchanged a message or call with them in the last 30 days or they are in your contact book; every customer is identified by a code Meta issues per business; the code works for every message except one-tap, zero-tap and copy-code login templates; a Share Contact Info button on templates and interactive messages asks for the number; a Meta-hosted contact book keeps number and code after any interaction, is not retroactive, and is deleted if switched off in Business Suite. WhatsApp's Help Center adds customers who start a chat from a Facebook or Instagram ad: in some cases, the first time they open a chat with a business, their number may be hidden from the business by default until they choose to share it, a number once shared stays shared, and Meta receives limited information, not the messages, name or number, when the chat opens within seven days of the ad. What it means for a customer list built on phone numbers.

Ads in WhatsApp Status: where they show, where the tap goes, and what Meta does not allow
WhatsApp's ads appear in Status, not in chats, and only run alongside Instagram Stories. A tap opens a chat or a website; finance, employment, housing, political, pharma and healthcare ads are kept out; and Meta lists them as available everywhere except the EU, UK and five other countries. What Meta's pages say, for the owner deciding whether to try them.

Underneath any provider's dashboard Meta keeps a fixed set of figures about every business number and template: messages sent and delivered, conversations and their approximate cost by category, pricing breakdowns, template reads and button clicks, calls and groups. Meta's analytics page says how far back each goes (one year since 1 December 2025 for messages, conversations and pricing; 90 days for templates and groups; 7 days for a message's read and click data), why the cost column is blank when the provider pays Meta, and the one switch, template analytics, that cannot be turned off once enabled and carries a consent the owner should decide. With the five reports to ask for.

Did the WhatsApp promotion sell anything? Meta's conversion measurement, what it needs, and the two things that quietly break it
A promotion report usually stops at delivered, read and clicked. Meta measures the step after that, purchases and other events on the business's website or app, for businesses that send marketing through its Marketing Messages API for WhatsApp and already report website events to Meta as advertisers do. What gets counted, where the figures appear, how credit is split with ads (last Meta touch), the prerequisite most owners have not heard of, and the two silent breakers: a link shortener that drops Meta's click code, and editing a template's button address instead of creating a new template. Also the separate click-event signal. From Meta's conversion measurement and click events pages. Also Meta's landing page view notice: a count of people whose tap actually opened the page, in limited availability.

Meta's second route for WhatsApp promotions: the Marketing Messages API, for the owner
Meta runs a separate sending route for marketing templates, with the promise of more deliveries for messages people read, benchmarks against similar businesses, and conversion figures. Same number, same templates, no new registration. What it adds, what the owner agrees to when someone with full control accepts the terms in WhatsApp Manager, the event data shared with Meta and the switch for it, and the routing job it hands the provider.

WhatsApp Conversation Routing: who answers when two systems share one business number
By default every system connected to a WhatsApp business number receives every customer message, and two of them can answer the same person. Meta's Conversation Routing gives each conversation one owner, chosen by how the customer arrived: an ad click, a reply to a marketing or utility template, a call, or an ordinary message. Who can read your WhatsApp business messages once a system is connected, and how long Meta keeps them: Meta's own privacy page in plain language
A customer asks whether the chat is still private now that the business runs WhatsApp through a system. Meta's privacy page for the Cloud API answers it: the message travels encrypted to Meta, is decrypted there and forwarded to the business's system, and replies are encrypted with the Signal protocol on the way back; Meta holds the keys on the business's behalf and acts on its instruction; messages are not automatically used for ads; message data is kept at most 30 days and customer identifiers deleted within 30 days of a message's last status; data centres, the Local Storage option, SOC 2 Type II and ISO 27001, and the business's own duties under laws like the GDPR.

What formats and lengths it allows, why billing is the same as a utility template, how eligibility is shown in WhatsApp Manager, and the catches: the category rules still apply with a warning email and review route, a paused generated template blocks lookalike messages, generated templates are deleted or archived, and only Meta's approval is skipped, not the business's. Why a WhatsApp message failed: Meta's error reasons, sorted by whose fault it is
When a message from a business number fails, Meta returns a numbered reason. With Meta's stated remedy for each. From Meta's error codes page. Meta's own list of common template rejection reasons, for the owner whose template came back with a one-line verdict: variables written wrongly (missing or mismatched brackets, special characters, out-of-sequence numbering, too many variables for the length, a variable at the start or end); content against the Commerce or Business Policy, including any request for full card, account or national identification numbers; character and emoji limits; and duplicate wording of an existing template. Where the full reason is shown in Business Support Home, why samples are required, and the four-click appeal in WhatsApp Manager that Meta says is decided within 24 hours. How long WhatsApp keeps trying to deliver a template: Meta's validity periods for codes, updates and offers, and when a message counts as dropped
When a customer's phone is unreachable, WhatsApp retries a template for a validity period and then drops it. Meta's defaults and ranges, for the owner deciding how late is too late: authentication codes 10 minutes by default (30 days for templates created before 23 October 2024), adjustable from 30 seconds to 15 minutes and best set no longer than the code's own expiry; utility 30 days by default, adjustable from 30 seconds to 12 hours; marketing 30 days by default, adjustable from 12 hours to 30 days through Meta's Marketing Messages API. No delivered notice by the end of the period means the message was dropped. An automatic category change clears a custom value. From Meta's time-to-live page.

Why your website link shows no preview in WhatsApp, and the four tags, one size rule and ten-second test that fix it
Why a competitor's link unfurls into a picture and title in WhatsApp while yours arrives as a bare blue line. Meta's own rules: four Open Graph tags in the page's head (title without branding, a description of about 80 characters, a clean canonical address, and an image under 600 KB, at least 300 pixels wide and no wider than four times its height); the head within the first 300 KB of the page; why a preview that half-works today can vanish after an update; the WhatsApp user agent and language header the page is fetched with; and the test: paste the link, wait up to 10 seconds, read the preview before sending. From Meta's link previews page.

Can our WhatsApp number send right now? Meta's five-part health check, and why a green number can still mean a blocked send
Before a campaign the owner asks whether the business can send. Meta's answer has five parts: the provider's application, the business portfolio, the Messaging account, the business phone number and the template, each checked separately and reported together as available, limited or blocked, with Meta's reason and a possible fix attached. If any one part is blocked the send is blocked. What each failing part usually means, where it is explained, and where the check belongs in the pre-send routine. From Meta's health status page.

When the person behind a customer's WhatsApp may have changed: Meta's identity change notice, and who should switch it on
A clinic, bank, school or landlord that sends private information over WhatsApp trusts that the number still belongs to the person it checked. Meta's identity change feature warns the business when WhatsApp detects a potential change in the account's cryptographic identity, pauses every outgoing message to that customer until the business acknowledges it is safe, and recommends breaking trust and re-checking the person off WhatsApp first. Meta's own words: acknowledging does not make the person trusted. Who needs it, who does not, and what to agree before it is switched on.

How fast can our WhatsApp number send? Meta's throughput, how it differs from the daily limit, and the one case where it is fixed low
Meta limits a business number twice: the messaging limit says how many new customers may be contacted in a day, and throughput says how many messages a second can go out. What Meta's throughput page says about the default level and the free automatic upgrade for very large senders, why a number that still runs the WhatsApp Business app is fixed at a lower speed, what happens when a send goes faster than the level (refusals, not a queue), why speed is for many people rather than one, and why a fast campaign needs the people who answer replies ready at the same moment. From Meta's throughput page.

Is WhatsApp down, or is it us? Meta's status page, its three colours, and how Meta decides the platform was unavailable
When messages stop, Meta's own advice is to check its public status page for the WhatsApp Business Platform before anything else. What the page reports (five separate services, each green, yellow or red, with a seven-day history and a feed), how Meta defines unavailable (at least ten consecutive minutes unable to send or receive, counted per month), how latency is measured and what is left out, why numbers on in-country storage are reported separately, and the order to follow on a bad morning: status page, then the five-part health check, then the failure reason on the message. What access did you give your WhatsApp provider? Meta's three kinds of key, the five permissions, and the list the owner can read
Someone clicked through Meta's connection screen once and the provider's system has sent and read messages ever since. What Meta's access token and permissions pages say was handed over: three kinds of key (a person's short-lived one, the business's own long-lived one, and the provider's key scoped to one customer), the five named permissions in plain words, why a provider's app must pass Meta's review before a customer can grant them, the click path in Meta Business Suite to see and change who has access on both the WhatsApp account and the Messaging account, and why no provider should ever ask an owner to send a token. A WhatsApp link that signs customers up: Meta's In-App Signup, what the customer sees, what the owner must supply, and where it is not available
Meta documents a second kind of WhatsApp link: instead of opening a chat, it opens a short consent screen inside WhatsApp, the customer taps to subscribe, a confirmation (with an optional promo code) arrives in their chat, and the business is told and gains a subscriber list. What the owner has to supply (a privacy policy link that can never be changed, two texts of up to 300 characters, Meta's terms accepted once), how one code works across all the business's numbers, why links are disabled rather than deleted, how it differs from a QR code and an ordinary opt-in, and the countries where Meta withholds it. Which phone number can you use for the WhatsApp Business Platform? Meta's rules on mobiles, landlines, toll-free lines, the two-number cap and deleting a number
The first decision in putting a business on WhatsApp properly is the number. What Meta's phone number page requires of any number (owned by the business, a country and area code, able to receive a call or text), which kinds work well (mobile) and which need the code by phone call (landline, toll-free, VoIP) or should be avoided, why a number already on the WhatsApp app must be deleted from WhatsApp first, how automated menus block the registration call, the cap of two registered numbers for a new portfolio and how it rises to twenty, why deleting a number needs an admin, the PIN, WhatsApp Manager and 30 days without paid messages, and the plus-sign rule for customer numbers. From Meta's phone numbers page.

WhatsApp's Template Library: Meta's pre-written delivery, payment and passcode templates, what you can change, and why a library message can fail at send time
Meta keeps a library of utility and authentication templates that are already written and already categorised: order confirmations, delivery updates, payment reminders, fraud alerts, one-time passcodes and more than twenty other use cases. What the library holds, how a template is taken from it in WhatsApp Manager, why customising the wording puts it back through review, how Meta type-checks the blanks (address, amount, date, phone, email, number) at the moment of sending and fails the message if a value is wrong, why the interactive form templates appear only once a business's messaging limit has risen, and how the library differs from Direct Send. From Meta's Template Library page.

Why WhatsApp limits how many new customers you can message a day, and how the limit grows
A new WhatsApp business number can start conversations with 250 people a day. What counts against that limit, what does not, how it rises to 2,000 and then further on its own, and where to see yours. Written from Meta's messaging-limits documentation.
