Guide · WhatsApp Business app · For the owner running the business from one phone
Keeping a busy WhatsApp Business app inbox in order: lists, notes, collections and quick replies, from Meta's own guides
On a small business's phone, WhatsApp soon becomes the shop counter, the order book and the help desk at once, and the messages grow faster than the hours. Meta has published three short guides on keeping that inbox in order with tools already inside the WhatsApp Business app. This is what they say, in one place.

Four tools, one job each
- Lists
- Group chats by what needs to happen next, so a glance at the inbox shows who is ready to buy, who needs a follow-up and who is waiting for help.
- Notes
- Save details inside a customer's chat, such as their size, past orders or how they like their delivery, so a returning customer does not have to repeat themselves weeks later.
- Collections
- Group catalog items the way customers shop, so one tap answers a common question with a set of options instead of a run of photos.
- Quick replies
- Saved answers to the messages typed every day, sent in a tap, so a busy afternoon does not mean slower or less accurate replies.
Lists that follow the sale
Meta suggests starting with lists that match how a sale moves: new lead, needs follow-up, paid, shipped or ready for pickup, and support needed. Once those work, add lists for the kind of business it is, such as repeat customers, wholesale buyers, custom orders or seasonal shoppers.
- Give each list its own quick replies. Meta pairs them: new leads get pricing, sizes and opening hours; paid orders get a confirmation and what happens next; shipped orders get tracking or pickup details; support chats get the returns steps.
- Keep the replies short and personal. Meta's pattern is a greeting with the customer's name, one clear answer, one next step, and a catalog item or collection where it helps.
- Write the notes as you go. A line about a preference or a past order saves scrolling back through old messages, prevents the wrong size going out, and, Meta notes, makes it easy for someone else to pick up the conversation.
- Build collections around real questions. Meta's examples include best sellers, ready to ship, seasonal items, custom orders and bundles: whatever customers ask about most.
The settings behind lists and quick replies
WhatsApp's Help Center fills in the details the guides above leave out:
- Lists
- Made under Tools, then Lists, then Add new list, up to 20 of them, each with its own colour, and a chat can sit in more than one. Lists replaced the older labels and are still rolling out. A marketing message can go to everyone in a list at once.
- Quick replies
- Up to 50, made under Tools, then Quick replies. Each has a shortcut that starts with a forward slash, up to 25 characters with no spaces; typing the slash in a chat brings them all up. They can include photos and videos, though not when made on WhatsApp Web or the desktop app.
- Default replies
- The app makes some quick replies itself from the business profile, such as the opening hours and the address, so a complete profile gives more of them.
- Chat filters
- Search in the Chats screen can be filtered to links, documents, photos and more. The Help Center suggests the photos filter for finding pictures customers send of themselves using the products.
One warning: a quick reply that is deleted, or disappears, cannot be recovered. The Help Center's advice is to keep a copy of the important ones outside WhatsApp.
Greeting and away messages, and the AI agent
Both are switched on under the Tools tab and send themselves. A greeting message goes to a customer who messages for the first time, or again after 14 days with no messages in that chat. An away message tells customers the business is busy or away, and can be sent always, on a custom schedule, or outside business hours, which needs the hours set in the business profile. Each can go to everyone, to everyone not in the phone's contacts, to everyone except chosen people, or only to chosen people, and the phone needs an internet connection for either to send.
Meta's AI agent changes this. WhatsApp's Help Center says greeting and away messages are switched off automatically once Meta Business Agent is connected, because automatic messages interfere with how the AI handles incoming chats. To use them again, the agent has to be deleted.
Our reading: the AI agent or the away message, not both
Where Meta's AI agent fits
The same guides point to Meta Business Agent, Meta's AI assistant inside the WhatsApp Business app, for the hours nobody can answer. Meta says its voice can be set to match the business's tone, that it keeps improving by learning from the business's conversations and feedback, and that the owner can step into any conversation at any time. Collections can be uploaded to it so it can answer product questions. It is not offered in every country, so check availability first. How it works on a connected number is covered in the Meta Business Agent guide.
Listening counts as much as replying
When one phone is no longer enough
Everything above lives in the app on the business's phone. When several people need to answer at once, or the business wants its conversations kept in a system it owns, Meta's other route is the WhatsApp Business Platform. The difference is set out in the app or platform guide, and the catalog itself in the catalog guide.
Questions
Which lists should a small business start with?
Meta's suggestion is the steps of a sale: new lead, needs follow-up, paid, shipped or ready for pickup, and support needed. Lists for your kind of business come after those work.
What is worth saving in a customer note?
Meta lists sizes, colours or styles, past orders and favourites, delivery preferences, important dates and how the customer likes to get updates. Save only what helps you serve them better.
Can Meta's AI agent use our catalog?
Meta says collections can be uploaded to Meta Business Agent so it can help answer questions. It is not available in every country.
Why isn't our WhatsApp Business greeting message sending?
WhatsApp's Help Center lists the usual causes: Meta Business Agent is connected, which switches greetings off; the recipient settings leave that customer out; or the customer messaged within the last 14 days, so no greeting is due. Its other fixes are turning the greeting off and on, updating the app and restarting the phone.
Can we use an away message and Meta's AI agent together?
No. WhatsApp's Help Center says greeting and away messages are switched off automatically when Meta Business Agent is connected, and the agent must be deleted to use them again.
Can we get back a quick reply we deleted?
No. The Help Center says deleted or vanished quick replies cannot be recovered, so keep a copy of the important ones outside WhatsApp. The app holds up to 50.
Do quick replies make us sound robotic?
Not if they leave room for the customer. Meta's pattern is their name, one clear answer and one next step, edited before sending where needed.

Outgrowing one phone?
We set up a business's WhatsApp number on a system its team runs, so every customer conversation sits in one place the business owns. A short call is the easiest way to see how that would work for you.
