Taking rental bookings on WhatsApp with Meta's AI agent: what Meta says about prices, payment and cancellations
Meta has published a guide to taking bookings over WhatsApp with its AI agent for business. Its example is car rental, but Meta says the same pattern fits van and equipment hire, boats and motorhomes, and any business that rents out a limited fleet for a set of dates.

What Meta's booking agent does
Meta separates this from selling goods. A rental is priced for a date range, available means a vehicle of that type is free between two dates, and the agent makes one dated booking rather than filling a basket. The customer books a type of vehicle, not a particular one: Meta says choosing specific seats or units, as in ticketing, is not available.
- Helps the customer choose
- Describes the types on offer from the business's product catalog.
- Checks the price and availability live
- For the customer's dates and pickup place, from the business's own booking system. Meta says that without this connection the agent cannot quote or book at all.
- Books, after the customer confirms
- Then sends a link to finish and pay, and answers questions about a booking the customer already holds.
- Changes and cancels, carefully
- Only after looking the booking up and getting the customer's confirmation.
- Passes the rest to the team
- Meta's examples: billing disputes, damage claims and accidents.
Prices: the catalog describes, the booking system decides
- Dates and place first
- Meta says a rate quoted without dates is wrong more often than right, and availability changes by branch and by day. The agent asks for both before anything else.
- Live figures, not the catalog
- The catalog tells the agent which types exist and how to describe them. The price and availability for the customer's dates come from the booking system, so an out-of-date catalog entry never becomes a quoted total.
- The total for the whole period
- Customers compare totals. The booking system should return the total as well as the daily rate, so the agent is not doing sums that may miss weekend prices, minimum hire periods or one-way charges.
- Variants grouped together
- An automatic and a manual version of the same car belong in one group in the catalog. Otherwise the agent treats them as unrelated and cannot offer the other when one is fully booked.
Booking, paying, changing and cancelling
- Confirm before booking
- A booking takes a vehicle out of the fleet and can carry a cancellation fee. Meta's agent confirms the type, the place and both dates first, and asks rather than guesses when a message is unclear.
- The booking holds, the link takes payment
- Making the booking does not take money. Outside Brazil and India, Meta's guide says the customer finishes with a button that opens the business's own checkout page or app, or pays at the counter. Paying inside the chat through the agent is not available.
- The phone number links the chat to the booking
- It is filled in automatically and the agent never asks for it. The business's system should refuse any booking reference that does not belong to that number.
- Identity is checked at the counter
- The agent collects no driving licence, passport or ID, and Meta says this flow is not designed to. The number proves only who is chatting, not who will drive.
- Changes
- Only once the booking system says the booking can be changed, and the customer has accepted the new dates and any difference in price.
- Cancellations
- A cancellation cannot be undone from the chat. If the free cancellation period has passed, the agent states the fee and gets agreement first. Where money has been taken or there is damage, it hands over to a person instead of refunding.
What a business outside India and Brazil can do instead of payment inside WhatsApp is covered in the payments guide.
After the booking, and before going live
- Reminders come from the business, not the agent. Meta says reminders are template messages sent by the business's system, and the agent must not promise reminders it cannot send.
- One extra, offered once. Add-ons such as cover or a child seat are offered once, straight after the booking is confirmed, as a simple yes or no, not on every message.
- Feedback once, after the return. And returning customers should be recognised from their history rather than asked to introduce themselves again.
- Stop double bookings in your own system. If a booking request is retried, two vehicles are booked unless the business's system spots the repeat and returns the existing booking. Meta says this is the business's to build.
- Say something while checking. A short "checking, one moment" beats a silent chat when the booking system is slow, and the step that makes bookings should be monitored on its own, because many successful lookups can hide a booking step that fails every time.
Handing a customer to a person, and what an agent may decide alone, are in the support line guide.
Questions
Can customers pay inside the WhatsApp chat?
Not through the agent. Outside Brazil and India, Meta's guide says the agent holds the booking and sends a button to the business's own checkout page, or the customer pays at the counter.
Does the agent check the customer's driving licence?
No. Meta says the agent collects no licence, passport or ID; identity is checked at the counter when the vehicle is collected.
Can a customer choose a particular car or seat?
Meta says choosing specific seats or units is not available. Bookings are by type, and the business assigns the vehicle.
Can the agent cancel a booking and refund it?
It can cancel after checking the booking and getting the customer's confirmation, stating any fee first. Where money has been taken or there is damage, Meta says it hands over to a person rather than refunding.
Will the agent send pickup reminders?
Not by itself. Meta says reminders are template messages the business's system sends, and the agent should not promise any it cannot trigger.

Want booking chats your team can step into?
We set up a business's WhatsApp number on a system its team runs, so when an AI agent hands a booking question, a dispute or a damage report to a person, the conversation lands in one place the business owns. A short call is the easiest way to see how that would work for you.
