Guide · Reporting · For the owner who asked how WhatsApp is doing
The WhatsApp numbers Meta keeps about your business, how far back they go, and the five reports to ask your provider for
An owner who asks how WhatsApp is performing usually gets a dashboard built by the provider, with whatever the provider chose to show. Underneath, Meta keeps a fixed set of numbers about every business number and template, and any provider can pull them. Knowing what that set contains turns a vague question into a specific request: how many messages were delivered last month, what each category cost, which template's button people actually tapped. Here is what Meta's analytics page says exists, how far back it goes, and the one switch that an owner, not a developer, should decide.

The six families of numbers
- Messages
- How many messages each business number sent and how many were delivered, by half hour, day or month, split between templates, ordinary replies and incoming messages from customers, and by the customer's country. This is the basic volume picture.
- Conversations
- How many conversations opened and their approximate cost, split by category (marketing, utility, authentication, service), by who started them, by whether they came through a free entry point or fell inside the monthly free tier, and by country or number. Meta says the figures are approximate and can differ from the invoice.
- Pricing
- The cost and volume of delivered messages, broken down by country, number, category, pricing type and tier. This is the family to ask for when reconciling a bill, and the one most owners never see.
- Templates
- For each template: sent, delivered, read, clicks on its website button and quick-reply buttons, unique clickers, the amount spent on the conversations it opened, cost per delivered message and cost per website click. Button figures exist only for marketing and utility templates.
- Calls
- For businesses using WhatsApp calling: the number of calls, their cost and their average length, split by whether the customer or the business called.
- Groups
- For business-run groups: messages sent, delivered and read, and how many people joined or left, by day.
When the cost column is blank
Some of these numbers sit on a screen the owner can open directly. Meta's Help Center describes an Insights tab in WhatsApp Manager: in Meta Business Suite choose More options, then WhatsApp Manager, then Insights in the left menu. The Overview tab also has an “Insights this month” section. Seeing it needs finance access in the business portfolio.
- All messages
- Every message between the business and its customers, split into replies, marketing, utility and authentication.
- Messages not charged
- Replies inside the 24-hour window, utility messages sent inside it, and anything sent in the 72 hours after a customer writes in from an ad that clicks to WhatsApp or a Facebook Page button.
- Paid messages and approximate charges
- The charged messages and an estimate of what they cost, set by the country of the customer's number and the message category. Meta says savings from volume tiers are not shown here.
- Sent, delivered and received
- Counts that can be exported by phone number, country or date. Sent and delivered differ because a message to a phone that is switched off arrives later, or not at all.
The same article says that from 1 July 2023 WhatsApp Manager stopped showing approximate charges to businesses billed through a provider, and that every figure on the tab is approximate and can differ from the invoice. Our reading: an owner billed by a provider sees the counts here and gets the money side from the provider's bill.
How far back the numbers go
Since 1 December 2025 Meta keeps one year of message, conversation and pricing analytics; before that date it kept far more. Template and group analytics are kept for 90 days. And within template analytics there is a shorter limit that catches people out: Meta's page says read and click data for a given message is only available for 7 days from when it was sent, after which those counts reset to zero for that message. A read rate pulled a month after a campaign is not the read rate; it has to be captured within the week.
For an owner this sets the reporting rhythm. A weekly template report, a monthly cost and volume report, and an annual export before the year rolls off are the minimum if the numbers are to exist when a question is asked.
The switch an owner should decide
Template analytics are not on by default. Meta's page says they must be enabled on the Messaging account, in WhatsApp Manager or by the provider, and that once enabled they cannot be disabled. Enabling them is also a consent: Meta states that by doing so the business directs Meta to add link tracking to report website clicks, and to collect and anonymise data from its chats with customers to improve Meta's services for it and for other businesses. Link tracking can be turned off template by template afterwards; the anonymised collection cannot.
That is a business decision, not a technical one, and it belongs to the owner. The trade is real on both sides: without it there is no read or click data for any template, and with it there is a standing consent that cannot be withdrawn. Meta also notes the feature is not available to accounts owned by or shared with businesses in the European Union or Japan. How Meta treats the chats themselves is set out in the privacy guide.
What to ask your provider for, in one list
- Monthly: delivered messages per number split by template, reply and incoming, so growth in real conversations is separated from growth in broadcasts.
- Monthly: conversations and cost by category and whether each fell inside the free tier or a free entry point. If the cost column is blank, ask the provider for its own figures and why billing is not in your name.
- Weekly: template read and click figures for anything sent that week, because Meta discards per-message read and click data after 7 days.
- Yearly: a full export before the one-year window rolls off the oldest month.
- Once: whether template analytics are enabled, and if not, the decision above put to you in writing rather than switched on quietly.
The failure side of the picture, which no analytics family covers, is in the failure reasons guide.
Questions
Our dashboard shows a read rate for last quarter's campaign. Is it real?
Only if the provider captured it within 7 days of each send and stored it. Meta's page says per-message read and click data resets to zero after 7 days, so a figure pulled from Meta later is not the read rate.
Why can our provider see costs that Meta's reports do not show us?
Because the Messaging account shares the provider's credit line. Meta withholds cost figures in that case and returns counts only. The provider sees its own bill from Meta and allocates it to you.
Can we see how a whole campaign did, not one template at a time?
Yes, with a template group. Meta lets templates be grouped so their figures are read as a set. A template can sit in only one group at a time, removing it keeps what it already added to the group's figures, and deleting a group leaves its templates in place. Our reading: one group per campaign, with the English and Arabic versions in the same group.
Can we switch template analytics off again if we do not like the consent?
No. Meta's page says that once enabled, template analytics cannot be disabled. Link tracking can be turned off for individual templates, but the anonymised data collection stays. Decide before it is switched on.
Where can we see our own WhatsApp message counts without asking the provider?
In WhatsApp Manager's Insights tab: in Meta Business Suite choose More options, WhatsApp Manager, then Insights. It needs finance access in the business portfolio. Businesses billed through a provider see the counts but not the approximate charges.
Do the numbers match the invoice?
Not exactly. Meta describes conversation analytics as approximate and says they may differ from invoices because of small variations in data processing. Use them to see shape and trend, and the invoice for the amount.

Want Meta's own numbers in your monthly report, not a provider's summary?
We set up a business's WhatsApp number on a proper system that pulls Meta's message, conversation, pricing and template figures on the rhythm they survive, keeps them past Meta's windows, and puts the template analytics decision to the owner in writing before anything is switched on. A short call is the easiest way to see whether it fits your business.
