Guide · WhatsApp Business app · For the owner who can't miss an order

Never missing a customer message on the WhatsApp Business app: notifications, a tone for your key customers, muting groups and channels, the badge count and which watches work

A customer sends an order at lunchtime and nobody sees it until the evening. Sometimes nothing is broken: the phone was told to stay quiet, or a busy group drowned the chat that mattered. This guide puts WhatsApp's Help Center articles on notifications, tones, muting, the badge on the app icon and smartwatches in the order a business owner needs them.

Published 15 October 2026

First: these pages are about WhatsApp in general

WhatsApp's Help Center files these articles under Chats, Channels and Get Started > Linked Devices, not under WhatsApp for Business. We read them on 15 October 2026, mostly in their Android view, and two of them in their Web view as well. Only one of them, the Wear OS article, names the WhatsApp Business account at all.

Our reading

The WhatsApp Business app uses the same settings screens, so we expect these steps to work the same on your business number. Wherever this guide applies them to the WhatsApp Business app, read it as our reading, not as a separate promise from WhatsApp.

Your phone's settings win

WhatsApp's article How to manage your notifications says you can change the notification settings for all calls and messages, including notification sounds, ringtones and alert tones. Then it adds a warning: your device settings override WhatsApp settings. If you turn off or silence all notifications, or WhatsApp's notifications, in your phone's settings, changes you make inside WhatsApp won't take effect.

The same article says that when you turn on custom notifications for one chat in WhatsApp, a new notification category is added in your phone's settings, with notifications turned on for that setting.

Our reading

Check the phone first, WhatsApp second. If the phone has WhatsApp silenced, no tone you pick inside WhatsApp will be heard. When alerts have stopped altogether, the checks are in When the WhatsApp Business app stops working.

The notification settings, one by one

On Android, the article says to tap More options > Settings > Notifications. Under Messages or Groups you find:

Conversation tones
Turns the sounds for incoming and outgoing messages on or off.
Notification tone
Changes the tone for messages, or for group messages.
Vibrate
Changes how long WhatsApp's notification vibration lasts.
Use high priority notifications
Shows previews of notifications at the top of your screen.
Reaction Notifications
Notifies you when someone reacts to a message you sent.
Clear badge when viewed
WhatsApp says this shows the total message and call count on the WhatsApp icon until you view them.

Under Calls there are Vibrate and Ringtone. To start again from the defaults, the article says to tap More options > Reset notification settings > Reset on the same screen. It also notes that popup notifications aren't available on Android 10 and above.

If a chat's notifications show "WhatsApp" instead of the contact's name, the article says the chat is locked. WhatsApp hides the name and the message from notifications for a locked chat. Unlocking the chat (tap and hold it, then Unlock chat) brings the name back.

Tones: a sound you will recognise

WhatsApp's article How to manage conversation tones says conversation tones are the sounds played when you send and receive a message. Their volume follows your phone's notification volume, and they won't play if the phone is on mute or set to vibrate.

Turn them on or off
More options > Settings > Notifications, then tap Conversation tones.
Change the tone
More options > Settings > Notifications, tap Notification tone under Messages or Groups, select a tone and tap Save.
One chat's own tone
Open the chat, tap the name of the person or group, tap Notifications, then Notification tone. Select a tone and tap Save.

A ringtone for your key customers

WhatsApp's article How to change your ringtone for WhatsApp says you can choose any ringtone available in WhatsApp for all notifications, or customize ringtones for specific contacts. You can only choose from ringtones available in WhatsApp.

All calls
More options > Settings > Notifications. Under Calls, tap Ringtone, choose one and tap Save or Apply.
One contact or group
Open the chat, tap the name, tap Notifications. Under Message notifications, tap Notification tone; under Call notifications, tap Ringtone. Choose and tap Save or Apply.
Group calls
WhatsApp says group calls use a default ringtone for WhatsApp calls, and it can't be changed.

Our reading

Give your biggest customers and your main supplier their own message tone and ringtone. You then know who it is before you pick up the phone, and you can leave the rest for later.

Muting a chat or a busy group

WhatsApp's article How to mute or unmute individual or group chat notifications says you can mute a chat's calls and messages for 8 hours, 1 week or Always. You still receive the messages, but your phone won't vibrate or make a sound.

One chat
Open the chat, tap the name, tap Notifications and turn on Mute. Choose how long and tap OK.
A group
Open the group, tap its name, tap Notifications. Turn on Mute under Messages or Calls.
Unmute
Tap Notifications and turn off Mute.

The same article says that when you mute a chat:

The other side isn't told
Contacts aren't notified that you muted the chat.
Read receipts still go
If you have read receipts turned on, contacts still receive them when you read their messages.
The count stays
You still see the unread message count next to the chat.

How to manage your notifications adds that in a muted group you still get notifications for mentions and replies. A group's Notifications screen also has Mute @all mentions, and Notify for, where All means every group message and Highlights means only mentions, replies, messages from contacts and other relevant messages. A whole list of chats can be muted too; lists are covered in Finding a customer's chat fast in the WhatsApp Business app.

Our reading

Mute the family group and the suppliers' chatter, not the customers. A muted customer chat still shows its unread count, but no sound or vibration will tell you a new message arrived.

Channels start muted

WhatsApp's article How to manage channel notifications says that when you follow a channel, its notifications are muted by default. You can turn them on to get alerts about new updates, and then they work the same as notifications for your personal messages.

To switch them, open the channel and tap the Notification bell: a bell with a slash means notifications are off, a plain bell means they are on. You can also turn them on or off from the channel info page.

Our reading

The same default applies to your customers. Someone who follows your business's channel hears nothing about your updates until they tap the bell, so it is worth asking them to. Running your own channel is covered in Running a WhatsApp channel for your business.

The number on the app icon is wrong

WhatsApp's article Troubleshoot problems with notification badges says the badge on the WhatsApp icon is a feature provided by your phone's manufacturer, to show unread messages and missed calls. It lists these steps:

1. Allow notifications
In your phone's Settings, tap Notifications, then App notifications, and make sure WhatsApp notifications are allowed.
2. Get a new message
Ask someone to send you a new WhatsApp message. This should refresh the count.
3. Reset WhatsApp's notification settings
More options > Settings > Notifications, then More options > Reset notification settings > Reset.
4. Reinstall
First make sure you have a backup of your chats. Then uninstall, keeping the app data, and install WhatsApp again.

WhatsApp's article Can't see notification count says that on Android the count on the icon comes from your launcher (the home-screen app), not from WhatsApp. If the dot is missing, remove the WhatsApp shortcut from the home screen by tapping, holding and dragging it to the remove icon, then drag a new one out of the Apps drawer. If it still isn't right, both articles say to contact your phone's manufacturer.

Alerts on the computer

The Web view of How to manage your notifications says that on WhatsApp Web you click Settings > Notifications, which has boxes for:

Message notifications
Notifications for new messages.
Show previews
A preview of the message text inside the notification.
Show reaction notifications
Notifications when someone reacts to a message you sent.
Background sync
Syncs messages in the background, for faster performance.
Incoming sounds and Outgoing sounds
A sound for messages you receive, and for messages you send.

The article says you can't see lock screen notifications on WhatsApp Web, and that closing WhatsApp on your computer stops its notifications for as long as it stays closed. The Web view of the mute article says that if you mute a group chat on your phone, it is also muted on WhatsApp Web and Desktop. All other notification settings on the phone and the computer are separate and don't affect one another.

Our reading

Setting up the phone does not set up the computer. Tick the boxes on each computer the team answers from. Linking a computer to your business number is in Answering customers from a computer.

Which watches work with a business number

Wear OS
WhatsApp's article About WhatsApp for Wear OS says plainly: you won't be able to link your WhatsApp Business account. For WhatsApp itself it needs Wear OS 3.0 or newer, the same phone number as your phone, and an eight character code from the watch entered on the phone. You can't link from an iPhone.
Apple Watch
About WhatsApp for Apple Watch says you need watchOS 10 or newer and Apple Watch Series 4 or newer. To get alerts, allow WhatsApp notifications on the iPhone, then in the Watch app go to Notifications > Mirror iPhone alerts from and turn on WhatsApp. You reply with Suggestions, by writing with your finger, or by dictating. You can't link from an Android phone.
Garmin
About WhatsApp for Garmin Smartwatches lists reading and replying to recent messages, and then says this app is consumer-only.

Our reading

We read consumer-only as the ordinary WhatsApp app, not the WhatsApp Business app. The Apple Watch article doesn't mention the Business app either way, so test alerts from your own business number before you rely on the watch.

Meta AI glasses that read messages aloud

WhatsApp's article About WhatsApp on Meta AI glasses says Ray-Ban Meta and Oakley Meta glasses can send and reply to messages and answer and decline calls by voice, starting with "Hey Meta". They can announce when a message arrives and read it out loud in English, French, Italian, Spanish, Portuguese and German. The list does not include Arabic.

How to use WhatsApp on Meta AI glasses says that for Ray-Ban Meta you link WhatsApp in the Meta AI app on your phone: select the glasses, tap the settings gear, tap Communication, then Connect next to WhatsApp. Under Communication > WhatsApp you turn Announce messages or Automatic message readout on or off. If you hear no announcements with the setting on, it says to check that Bluetooth permission is allowed in your phone's settings.

The first article also describes Message search and summaries, which uses Meta AI to find details in your recent messages. It says the searches and summaries are made on the device and aren't shared with Meta servers, and that the feature is only available to members of the Early Access program for AI glasses in the US and Canada.

Our reading

Neither glasses article mentions the WhatsApp Business app, and the read-aloud languages leave out Arabic. For a Gulf business number, treat the glasses as something to test, not a way to keep up with customers.

Our reading

Five minutes once: allow WhatsApp in the phone's settings, give your key customers their own tone, mute the noisy groups rather than the customers, and tick the boxes on every computer. Then check that the badge on the icon matches what is unread.

Questions

Why don't I get WhatsApp notifications even though they're on in WhatsApp?

WhatsApp says your device settings override WhatsApp's. If the phone has silenced all notifications, or WhatsApp's, changes inside WhatsApp won't take effect. Allow WhatsApp notifications in the phone's settings first.

Can I give one customer their own WhatsApp tone?

Yes. Open the chat, tap the name, tap Notifications, then Notification tone for messages and Ringtone for calls. You can only choose ringtones available in WhatsApp, and group calls always use the default ringtone.

If I mute a chat, does the customer know?

No. WhatsApp says contacts aren't notified that you muted the chat. You still receive the messages, read receipts still go if you have them on, and the unread count still shows.

How long can I mute a WhatsApp group?

8 hours, 1 week or Always. In a muted group you still get notifications for mentions and replies.

Why don't I get notifications from a WhatsApp channel I follow?

WhatsApp says channel notifications are muted by default. Open the channel and tap the Notification bell, or turn them on from the channel info page.

The unread number on the WhatsApp icon is wrong. How do I fix it?

WhatsApp says the badge comes from the phone, not WhatsApp. Allow WhatsApp notifications in the phone's settings, get someone to send you a new message, reset WhatsApp's notification settings, or reinstall after a backup. On Android, replace the home-screen shortcut.

Can I use the WhatsApp Business app on a smartwatch?

Not on Wear OS: WhatsApp says you won't be able to link your WhatsApp Business account. The Garmin article says its app is consumer-only, which we read as not covering the Business app. The Apple Watch article doesn't mention the Business app either way, so test it with your own business number.
