Guide · Troubleshooting · For the shop whose WhatsApp goes quiet on a busy day

When the WhatsApp Business app stops working: messages stuck on one tick, "Waiting for this message", logged out, no alerts, and which phones WhatsApp supports

The shop phone is the shop's front door. When a message sits on one tick, a customer says they wrote and you saw nothing, or the screen says You have been logged out, the first instinct is to delete and reinstall. That can cost you every chat. This guide puts WhatsApp's Help Center troubleshooting pages in one place, in plain language, in the order to try them.

A clock icon or one tick

WhatsApp's article Can't send or receive messages explains the marks next to a message:

A clock icon
Your phone isn't connected to the internet. With a clock icon or Waiting for network, check that Wi-Fi or mobile data is on and working, open a website to confirm, move to a better signal, turn airplane mode on and off, and restart the phone.
One check mark (one tick)
The message left your phone but hasn't reached the customer's phone. Their phone may be off or out of coverage, they may have run out of mobile data, they may have seen the notification without opening WhatsApp, or they may have blocked you.
Two check marks
The message was delivered to the customer's phone. Two blue check marks mean they have read it.

Our reading

One tick is usually on the customer's side, not yours. If every message shows a clock icon, the problem is your phone's connection.

A customer says they wrote, and you saw nothing

The same article says to check first whether the messages arrive without an alert, or don't arrive at all. If they appear as soon as you open WhatsApp, it's a notification problem (the next section). If they never appear, it lists these checks:

Connection
Wi-Fi or mobile data on and working, airplane mode on and off, restart the phone.
Storage
Enough space on the phone. When storage is full, new messages and media may not be saved.
Date and time
Set correctly on the phone.
App version
Update WhatsApp to the latest version from your app store.
One customer only
Check whether you blocked that contact. You won't receive messages from a contact you've blocked.
One group only
Check whether the group is muted, or whether you were removed from it.
Archived chats
You won't get notifications for archived chats unless you're mentioned or replied to. When a new message arrives, the chat stays archived by default, so you may not notice it.

Our reading

A customer archived months ago can write today and stay hidden in Archived. Check it at the end of each day.

No alerts, or silent alerts

WhatsApp's article Can't see or hear notifications names four kinds of alert, each with its own settings:

Push notifications
The alerts you get when WhatsApp is closed or in the background. They depend on notification permissions, background data and battery settings.
In-app notifications
The banner, the unread count next to a chat and the badge on the icon while WhatsApp is open.
Group notifications
Separate from individual chats, and each group can be muted on its own.
Notification sound
The alert arrives but is silent. Usually the tone is set to Silent or None, or it's the phone's sound settings, or Do not disturb or Focus mode.

The article adds: if you can see a silent alert, notification delivery is working, so check your sound settings first.

Our reading

Battery settings are one of the three things WhatsApp says push alerts depend on, so check the phone's battery saver. Send a test message from another phone with WhatsApp closed, and listen for it.

“Waiting for this message”

WhatsApp's article on Waiting for this message. This may take a while. explains that WhatsApp protects personal messages with end-to-end encryption, and lists four causes: the message failed to deliver; you or the sender recently reinstalled WhatsApp; one of you isn't on the latest version; or you replaced your main phone and installed WhatsApp on a new one with the same number. Its fixes:

Get online together
Ask the sender to open WhatsApp, so you're both online at the same time.
Check the connection
Try switching between Wi-Fi and mobile internet.
Both update
Make sure both of you have the latest version of WhatsApp.
Ask for a resend
If the message failed to deliver, ask the sender to send it again.
Use the main phone
Switch to the phone you registered the account on. Log in to it every 14 days to keep linked devices connected.
Relink
Unlink and relink a linked device.

A second article covers Waiting for this message. Check your phone., which shows on a linked device such as a computer. It says to check the phone, ask the other person to open WhatsApp on their phone, and make sure you're both on the latest version. Linked computers are covered in our guide Answering customers from a computer.

Photos, videos and PDFs that won't open

WhatsApp's article Can't download, open, or send media files (the WhatsApp Web version) says the most common reason is a weak internet connection. It also says:

Video formats
Supported video formats include 3GP, AVI, FLV, MKV, MOV and MP4.
PDFs
On WhatsApp Web, PDF preview and editing is powered by Adobe Acrobat, and the preview needs an active connection. If it won't load, save the PDF and open it in your computer's own PDF viewer. You don't need an Adobe account to use the editing tools.
Channels
You can't share PDFs to channels.

Can't send or receive messages adds, for photos, videos or documents that fail to send: check storage, use Wi-Fi for large files, make sure WhatsApp may access your photos and storage, and try a smaller file.

Basic fixes, office Wi-Fi and a full phone

The basics
Fixing issues on WhatsApp (Android version) lists: check the connection, update WhatsApp, turn the phone off and on, and close WhatsApp and reopen it. It also says clearing the cache won't delete your messages or chats.
Office Wi-Fi
How to fix connection issues (the WhatsApp Web version) says office or university campus Wi-Fi can cause connection issues. Try a different Wi-Fi network or a hotspot. The network can also be set to let WhatsApp's traffic through.
Phone storage
WhatsApp's storage article says to keep space on the phone so WhatsApp works properly. Settings > Storage and data > Manage storage shows how much WhatsApp uses. Inside a chat, tap the chat name > Manage storage to see that chat's files, largest first. The article's Review and delete media screen has a Larger than 5 MB filter for big files.
Deleting is for good
The same article says an item deleted this way is gone permanently and can't be downloaded again from the chat. It only deletes the item for you: others in the chat can still see it. It stays in your backup until the next backup.
Wrong times on messages
Fix incorrect timestamps on messages says to check the phone's time and time zone, and recommends setting date, time and time zone automatically. This can also fix wrong last seen times.

Our reading

If the shop phone works on mobile data but not on the shop Wi-Fi, ask whoever runs that Wi-Fi not to block WhatsApp. Before deleting big files, remember a customer's photo of a fault or a signed quote may be the only copy.

The “logged out” messages

You have been logged out
WhatsApp's article says this can follow a change of phone or phone number, or more than 120 days without using the account. Tap Log back in and register the number again. If the code doesn't come, wait for the timer, which may take up to 10 minutes, then use Call me. Don't guess the code, or you'll be locked out for a period of time. The article says it can't send the code by email, for security reasons.
Logged out for your account security
WhatsApp's article says someone might be trying to register a WhatsApp account with your phone number. Register again, never share your registration code or password, and turn on two-step verification.
Registered on a new device
Your phone number was registered with WhatsApp on a new device means someone tried to register your number on their own phone. WhatsApp's article says to tap Log back in > Continue: all other devices are logged out and the account is returned to you. Then turn on two-step verification.

Our reading

A business number unused for four months, such as a spare branch phone, can come back logged out. Open it now and then. Codes that don't arrive, dual SIM and the email login option are in our guide Registering your WhatsApp Business app number; the two-step password and takeover warnings are in Stopping someone taking over your WhatsApp business number.

Update before you reinstall

Updating
How to update the WhatsApp Business app says to update from Google Play or the Apple App Store, because the latest versions have the newest features and bug fixes. How to manually update WhatsApp adds that you can turn on automatic updates, that registering a number needs the latest version or registration might fail, and that updates may not be available in some regions because of local regulations.
Reinstalling
How to delete and reinstall the WhatsApp Business app says reinstalling can help with technical issues, but it will delete your chat history, and you may need to re-enter your business profile: website, address and business hours. It suggests backing up your chats first.
Official business accounts
The same article says that if your account is an Official business account, changing your business name might result in losing the official status.

Our reading

Reinstalling is the last step, not the first. Update, restart and check the connection first. If you must reinstall, back up the chats and write down the business profile details beforehand, and keep the business name exactly as it was. Backups and moving to a new phone are in our guide New phone, new number or lost phone.

Which phones WhatsApp supports

Android
About supported devices lists Android phones running Android 6.0 and newer that can receive SMS messages or phone calls.
iPhone
About supported operating systems lists iPhones running iOS 15.1 and newer. When we read it on 15 October 2026, the same page also announced a higher iOS minimum from a later date it gave. Check the page before relying on an older iPhone.
SMS or calls, not Wi-Fi only
The phone must be able to receive SMS or calls during verification. New accounts can't be set up on devices that only connect to Wi-Fi.
Warnings first
WhatsApp reviews supported systems every year. Before it stops supporting yours, it tells you in WhatsApp and reminds you a few times to upgrade.
Rooted phones
About rooted phones and custom ROMs says they aren't supported, and that on them other apps might be able to read your messages despite end-to-end encryption.
Permissions
About WhatsApp permissions says turning off permissions might cause WhatsApp to lose certain functionality. On Android you control them in the phone's Settings > Apps > WhatsApp > Permissions.

Our reading

When WhatsApp starts warning that the shop phone is too old, replace it before the cut-off, not after. Check the supported-systems page before buying a cheap second-hand phone for the counter.

Why you can't see Meta AI or a new feature yet

WhatsApp's article Not seeing a feature on WhatsApp gives five reasons:

Beta testing
People in the WhatsApp beta program can test features before everyone else.
Country or region
New features launch in phases around the world, so your country or region may not have it yet.
Old version
An older version of WhatsApp may not have the feature.
Specific devices
Some features reach iPhone before Android, or the other way round.
Slow release
There can be a wait of a few hours, days or even weeks before everyone has it.

The same article says you typically can't turn off new and updated features or go back to an old version. WhatsApp's article About Meta AI voice experiences says Meta AI and some experiences are only available in limited countries and might not be available to you yet, even if others in your country have access. It lists twelve supported languages for voice chats with Meta AI, Arabic among them.

Our reading

If a colleague has Meta AI and the shop phone doesn't, update the app first. WhatsApp's Help Center says Meta AI might not be available to you yet even when others in your country have it, so a missing Meta AI is not, by itself, a sign that something is wrong with the phone. What the owner can do with Meta AI is in our guide Using Meta AI as the owner's own assistant in WhatsApp.

What this means for your shop

BitByteCore is a verified Meta Tech Provider (since 9 September 2026). This guide repeats WhatsApp's Help Center as we read it on 15 October 2026, and is not legal advice. Most of the articles describe WhatsApp in general, not only the WhatsApp Business app.

Our reading

Work down the list in order: connection, notifications, storage, date and time, update, restart. Reinstall only after a backup. Most of the checks above are on the phone itself, so try them before assuming the account is the problem.
