Meta AI for your business in the Meta AI app: what it reads from your Pages, ads and catalog, connecting Gmail and Drive, and taking access back

Meta uses the name Meta AI for more than one business tool. Our reading is that this one is separate from the assistant inside the WhatsApp Business app. This guide is about Meta AI for your business in the Meta AI app, on meta.ai and in the Mac app, which works with your Facebook and Instagram business and ad information, Gmail and Google Drive. Here is what Meta's own Help Center says it reads, how you give and take back access, and the notes Meta adds to its Help Center articles on Meta AI.

What Meta says it is

Meta's article About Meta AI for your business describes Meta AI as an AI assistant that can answer questions and complete tasks to help you run and grow your business. The article says:

What it works with
Your Instagram and Facebook business and ad information, as well as your Gmail and work files on Google Drive.
Where you reach it
Meta's stand-alone Meta AI mobile app, the meta.ai website, or the Mac app.
Beyond content and ads
Meta says it can analyse your competitive landscape, work across Google Docs, Sheets and Slides, and draft and manage emails in Gmail.
Not everywhere
Meta says the Meta AI apps and websites are not yet available everywhere, and that some features may not be available in your area even where they are.

Our reading for the UAE

Meta's pages don't list countries. Before you plan around this, open the Meta AI app or meta.ai on the account you would use and check that the business features actually show up for you.

Before you start: one Accounts Center

Meta's article Use Meta AI to help manage your business says you must add your Meta AI profile to the same Accounts Center as the Facebook or Instagram profiles that manage your business assets. About Meta AI for your business adds that Meta AI can only work with business assets managed by profiles in that same Accounts Center. The steps Meta lists:

1. Log in
Log in to your Meta AI profile and make sure it's in the same Accounts Center as the Facebook or Instagram profile you use to manage your business assets.
2. Ask about a business asset
Enter a prompt about your business assets. Meta AI asks you to grant permission before working with them.
3. Say which one
Specify which business asset you want Meta AI to work with when you prompt it.
Taking it back
Ask Meta AI in the chat to revoke permission to read data from those business assets. Meta says you can ask it to stop using your business data at any time.

Our reading

Meta asks before working with the assets you name, and you give that permission from the chat, so it is easy to lose track of what you have opened up. If more than one person manages the shop's Facebook and Instagram, agree whose Accounts Center the Meta AI profile sits in before anyone starts asking it about the business.

What you can ask it

About Meta AI for your business says you can ask Meta AI to:

Answer questions
Research and answer questions about your content, your Meta ads and other business information, such as catalogs, in everyday language.
Review ads
Review your ad performance, explain what's working and why, and suggest how to improve.
Get started with ads
Guide you to get started with ads within your budget.
Insights in one place
Give insights about your content and ads without switching between tools.
Compare
Compare your content and ad performance with publicly available information about similar businesses on Instagram and Facebook, and suggest ways to stand out.
Make documents
Turn what you learn into documents, spreadsheets and slides.

The same article lists what Meta calls important information:

Reviewing is not running
Meta AI can review your ad performance. To create, edit or publish ads, Meta says to use Ads Manager or Meta Business Suite.
What answers are built from
Publicly available information and content you've provided or granted access to, such as your prompt, files you upload, or data from business assets you've allowed Meta AI to work with.
Limits
Meta says usage limits may apply.

Connecting Gmail and Google Drive

Use Meta AI to help manage your business gives these steps to connect Google Workspace:

1. Settings
In the Meta AI app, go to Settings.
2. Connected apps
Tap Connected apps.
3. Google
Next to Google, tap Connect.
4. Sign in and review
Sign in to your Google Account and review what Meta AI is asking to access.
5. Allow
Tap Allow.

The same article says you can disconnect Gmail or Google Drive in Settings.

Meta's article Use and manage third-party app connections in Meta AI describes connecting any app, such as a calendar or email, a little differently: tap Menu, then Settings, then Apps, tap Connect next to the app, tap Yes, connect, and sign in to the account you are connecting.

Our reading

The two Meta pages name the screen differently, Connected apps on one and Apps on the other. Follow whichever your app shows. Before you tap Allow, read the list of what Meta AI is asking to access: that list is the best guide Meta gives to what it will be able to reach in the shop's email and files.

What a connection shares

The third-party app connections article says:

Managed in Accounts Center
You manage connections across your accounts to third-party apps in Accounts Center.
Both directions
Meta AI can use information from the connected app to personalise its responses, and personalised information may be sent to the connected app so it can give a personalised response.
Shown before you connect
When you connect an app, you see what connecting it lets you do and what kind of data is shared. Meta notes that not every connected app is used in generating responses.
Shared across accounts
When you connect an app to one account in an Accounts Center, the other accounts in that Accounts Center that use the Meta AI assistant can also use its data and features.
It can act
Depending on the app, Meta AI may be able to take actions for you or use the app's information when you ask it questions. Meta's examples include adding a dinner to your calendar and summarising emails you haven't replied to.
Google's rules
When connecting to Google, Meta says its use of information received from Google Workspace follows Google's User Data Policy, including the Limited Use requirements.

To disconnect, the article says: in the Meta AI app tap Menu, then Settings, then Accounts Center, then Your information and permissions, then App Connections. Tap the app, then Disconnect, then Yes, disconnect. After that, Meta says Meta AI can no longer access the app's data.

Our reading

The shared-across-accounts rule matters for a shop. If a personal Instagram sits in the same Accounts Center as the business profiles, Meta's wording on the third-party connections page suggests its Meta AI could also use the Gmail you connected for the business. Check which accounts are in that Accounts Center before you connect anything.

The notes Meta adds to its Meta AI help articles

Meta's article Start a chat with Meta AI says you can pick how Meta AI responds by choosing a mode. The modes it lists include Instant for quicker answers to everyday questions, Thinking for in-depth answers to more complex questions, and Shopping, a shopping concierge based on your interests and prompt. That article and the third-party connections article both carry the same notes:

Accuracy
An AI's response may be inaccurate or inappropriate and should not be used to make important decisions.
Improving Meta's AI
Meta uses your interactions with AIs to improve AI at Meta. Meta's Start a chat article adds that if you don't want your information used to develop and improve AI at Meta, you can submit an objection to Meta.
When it can't answer
If the AIs cannot answer, Meta shares the messages you send to AI and general information, such as your region, with other companies it has selected, so that you can get better results.
Personalising
Meta AI uses your location information, and information from your profile such as your age, gender and interests based on your activity, to personalise your interactions. Depending on your region, your interactions with AI products can be used to personalise content and ads.
Community Standards
AI interactions are subject to Meta's Community Standards and Terms of Service. Sharing generated content that breaks them can get it removed and the account restricted or disabled.

Our reading

These are Meta's statements about Meta AI. Treat its ad and content suggestions as a starting point you check, not a decision, and don't paste anything into the chat that you wouldn't want Meta to use to improve its AI. Meta's data rules for AI companies that handle WhatsApp customer chats are in our guide on whether an AI company can learn from your chats.

Getting a copy of what you shared

Meta's article Export a copy of your Meta AI and AI glasses device information says you can request your information as an HTML or JSON file. The export covers the Meta AI app, the meta.ai website, the Vibes app and Meta AI glasses, and you need access to your account's email address or password. The steps:

1. Menu
In the Meta AI app, tap Menu in the top left.
2. Settings
Tap Settings in the bottom left, then Data & privacy.
3. Your information
Tap Manage your information, then Download your information, then Export your information.
4. Create export
Tap Create export, choose the profile, and tap Next.
5. Where it goes
Select Export to device, or Export to external service, connect the service, choose how often to export and enter your profile password. Customise the export, then tap Start export.

The article says that once the export is ready you have four days to download it from Available downloads, that it may take up to 30 days for Meta to email you a download link, and that the file won't include content you deleted from your Meta AI account.

Where WhatsApp fits

Our reading

None of these five Meta pages lists WhatsApp chats among the things Meta AI for your business works with. Its sources are your Facebook and Instagram business and ad information, Gmail and Google Drive. The WhatsApp Business app has its own, separate Meta AI business assistant, covered in our guide on Meta's AI business assistant in the WhatsApp Business app. Using Meta AI inside WhatsApp for your own tasks is in our guide on using Meta AI as the owner's own assistant.

Our reading

Meta AI for your business is a tool for looking at your Facebook, Instagram and ad numbers in one chat. Put the Meta AI profile in the Accounts Center that manages the business, grant access one asset at a time, connect Gmail and Drive only if you need them, and disconnect what you stop using. Keep the final call on ads and spending with a person.
