Getting your customer list into the WhatsApp Business app: uploading a spreadsheet, WhatsApp-only contacts, the +971 format and names that go missing
Many shops keep their customers in a spreadsheet: an export from the till, a delivery list, or years of numbers typed into Excel. WhatsApp's own Help Center explains how the WhatsApp Business app on the web takes that list in, what stops an upload, how a number has to be written, where WhatsApp keeps the contacts you save, why names sometimes show up as numbers, and what to do when contacts go missing or a customer's old number changes hands.

Uploading a spreadsheet of customers
WhatsApp's article How to import contacts in the WhatsApp Business App says you can upload a spreadsheet on the WhatsApp Business app on the web to add many contacts at once. The uploaded contacts appear in your Broadcast audience, so you can send business broadcasts to many customers from your business account. The article says this is only available on the WhatsApp Business app on the web.
The article says the file must be:
- The format
- A CSV or XLSX file.
- The columns
- Two: the contact's full name and their phone number.
- A template
- You can save WhatsApp's CSV template and type your contacts into it, or upload your own file as long as it follows the template's structure.
The steps on screen
The article lists these steps:
- 1. Log in
- On your computer, open the WhatsApp Business app on the web and log in.
- 2. Open the audience
- Click the shopping icon, then click Broadcast audience.
- 3. Add the file
- Select save the CSV template to fill in your contacts by hand, or click Upload file and choose your CSV or XLSX file.
- 4. Review and name
- Review your import list. Once the entries are imported without errors, name your audience.
- 5. Save
- Click Save audience. This saves the contacts to your phone, and you send business broadcasts to this audience from your phone.

When the upload shows errors
The same article explains what happens when the list has problems:
- More than 20 errors
- You are asked to review your file before you go on.
- Duplicates
- Duplicate entries are flagged as errors too.
- Fixing them
- Click Delete all errors to remove them all at once, or delete or edit each entry and click Update.
- Nothing saves until it is clean
- Errors are shown at the top of the audience list, and you have to correct or remove them before you can save the audience and sync it with your phone.

How every number has to be written
The import article does not spell out a number format. WhatsApp's article About international phone number format describes the full international format as a plus sign, then the country code, the city code and the local number. It says to remove any leading 0s or special calling codes, because these can cause errors during registration. WhatsApp's article How to add an international phone number gives the same rule when you save an international number in your phone's address book: start with a plus sign, then the country code and the full number, and remove any leading 0s. For a number in your own country, it says to enter it as if you were calling. The two pages add special notes for Argentina and Mexico.
Our reading for the UAE
The number format article also says that WhatsApp is designed for mobile phones, and that a landline can be registered only on the WhatsApp Business App, with the verification code arriving by a call to the landline.
Contacts saved only in WhatsApp
WhatsApp's article About WhatsApp contacts describes two kinds of contact. These are general WhatsApp pages, not Business-app pages:
- WhatsApp contacts
- Saved only to your WhatsApp account. They don't appear in your phone's address book and other apps can't reach them. A new contact you add in WhatsApp is WhatsApp-only by default.
- Synced contacts
- Saved both to your WhatsApp account and to your phone's address book. Turn on the Sync to phone toggle when you add or edit a contact.
With WhatsApp contacts turned on, the article says:
- No ceiling
- There's no limit on the number of contacts you can save.
- One list per account
- If you have more than one account on the same phone, such as a work account and a personal account, each can keep its own contact list.
- On a computer
- You can add, edit and delete contacts on WhatsApp Web and the Windows desktop app.
- New phone
- If you change phones or reinstall WhatsApp, your contacts are restored automatically. (About contact upload says only contacts who use WhatsApp are included; see below.)
The article also says that turning WhatsApp contacts off deletes any contacts saved only to WhatsApp, and that deleting your WhatsApp account deletes the contacts saved with it. The setting is under Settings, then Privacy, then Contacts.
WhatsApp's article How to add, edit, or delete a contact says you can add a contact from a new chat, from an existing chat that shows a number instead of a name, or from a group, and each time choose the Sync contacts to phone toggle. Deleting a contact doesn't delete your chat history with them. Each person sets their own profile photo, and if a contact hasn't set one, you can't add one for them.

What WhatsApp does with the numbers in your phone
WhatsApp's article About contact upload says:
- It is optional
- Syncing your phone's address book lets WhatsApp check which of your contacts use WhatsApp.
- How often
- WhatsApp accesses and uploads the phone numbers in your address book, typically daily, though the article says this depends on factors such as how often you use WhatsApp.
- People not on WhatsApp
- WhatsApp creates a cryptographic hash of their number, a scrambled code that stands in for it, and then deletes the number. The article says each hash is stored on WhatsApp's servers, linked to the users who synced that number, so WhatsApp can connect them if the person joins later.
- Other Meta apps
- WhatsApp says it doesn't share your contact lists with the other apps Meta offers.
- Restoring
- Contacts saved to your WhatsApp account are restored if you switch devices or reinstall, but only contacts who use WhatsApp are included.
The article says that if you turn off saving contacts or delete your account, you can avoid losing contacts saved only to WhatsApp by saving them to your phone's address book.

When names show up as numbers
WhatsApp's article Contact names missing covers seeing numbers or a username instead of names, or contacts that are missing altogether. It lists:
- Search
- Search for the contact's name or number in Chats.
- Phone permissions
- In your phone's settings, under Apps, WhatsApp, Permissions, allow Contacts and accounts.
- Reset the sync
- In your phone's accounts settings, remove the WhatsApp account, then open WhatsApp, start a new chat and tap Refresh. The article says the phone may warn that your WhatsApp messages and contacts will be deleted, and that this is not the case. It also says resetting removes from your WhatsApp contact list any contacts already deleted or removed from your phone.
- International numbers
- Make sure international contacts are saved in full international format.
- Work accounts
- If the missing contacts are in an Exchange account, which is likely a work account, its administrator may be blocking WhatsApp from reading them.
WhatsApp's article About contacts permissions explains the choices on an iPhone. With full access, names appear. With no access, names don't appear. With partial access, some names may not appear, and a new contact added to the phone won't show in WhatsApp until you grant access. Your chat history is kept whichever you choose.
WhatsApp's article How to find and invite contacts says new contacts from the phone's address book can be found only on your primary device. It advises searching your phone's Contacts app before adding a number, to avoid duplicates. Contacts who don't use WhatsApp yet are listed under Invite to WhatsApp, and an invite link shows your profile name, or your phone number if no profile name is available.

Missing profile photos, lost contacts and recycled numbers
WhatsApp's article Can't see a contact's profile information says you can hide your last seen and online, profile photo, about information, stories and read receipts from other users, and so can your customers. It lists six reasons you might not see someone's:
- Privacy settings
- You or the other person changed your privacy settings to hide it.
- Contacts out of sync
- You and the other person both need to resync your contacts.
- Blocked
- The other person has blocked you.
- Not saved
- You need to save them as a contact.
- No contact yet
- They haven't messaged you before or saved you as a contact.
- Network
- There's a temporary network issue.
If names appear as numbers, contacts are missing or you can't see a profile picture, the article says to check your privacy settings first. If customers can't see your photo, they should check their own privacy settings and resync their contacts. When a customer has notifications turned on, your profile photo also shows in the notification for your message, unless you change who can see it, under Settings, then Privacy, then Profile picture (Profile photo on Android), where you choose Everyone, My Contacts, My Contacts Except… or Nobody.
Our section Contacts saved only in WhatsApp says contacts come back automatically on a new phone. WhatsApp's article How to recover lost contacts adds what to do when they don't:
- They didn't restore
- With WhatsApp contacts turned on, you can delete WhatsApp and reinstall it. Back up your chat history first: the article warns that deleting WhatsApp deletes any chat history that isn't backed up.
- A delay
- Contacts may come back after a delay, for additional security. You can still add or edit contacts in the meantime, but the changes aren't saved to your WhatsApp account until your earlier contacts are restored.
- Privacy in the meantime
- Your privacy settings use the contact list saved to your WhatsApp account. If only your contacts may see your profile picture, everyone saved to your account can still see it, even before they reappear in your list.
- WhatsApp contacts turned off
- You can only restore contacts from a copy you made earlier with your phone's own features. If WhatsApp has access to your phone's address book, it adds the phone contacts who have an account to your WhatsApp contact list.
- Unblocked numbers
- If you unblock a contact or number that was never saved in your phone's address book, you can't restore it to your phone.
WhatsApp's article Don't recognize contact's account says that when someone switches phone numbers, you should delete their old number from your phone's address book. Mobile providers recycle numbers, so an account you think belongs to someone you know may now belong to the number's new owner. In your chats, you see the name you saved in your phone's contacts.

Questions
Can I upload my Excel list of customers into the WhatsApp Business app?
Yes, on the WhatsApp Business app on the web. WhatsApp says the file must be CSV or XLSX with two columns, the contact's full name and phone number, and the contacts go into your Broadcast audience.
Can I do it from my phone?
WhatsApp says the spreadsheet upload is only available on the WhatsApp Business app on the web. Saving the audience puts the contacts on your phone, and you send broadcasts from the phone.
Why won't my list save?
WhatsApp says you have to correct or remove every error before you can save the audience. Duplicate entries count as errors, and more than 20 errors brings up a prompt to review the file.
How should I write UAE numbers?
WhatsApp's full international format is a plus sign, the country code and the number, with any leading 0 removed. Our reading: for a UAE mobile that means +971 and then the number without its first 0.
Why do some customers show as numbers instead of names?
WhatsApp lists contacts permission switched off or partial, numbers not in full international format, and work accounts that block access. Its fixes are allowing contacts access in the phone's settings or resetting the sync.
Why can't I see a customer's profile photo?
WhatsApp lists six reasons: either of you hid it in privacy settings, you both need to resync contacts, they blocked you, you haven't saved them as a contact, they haven't messaged you or saved you, or a temporary network issue. It says to check your privacy settings first.
A regular customer has a new number. What do I do with the old one?
WhatsApp says to delete the old number from your phone's address book, because mobile providers recycle numbers and the old one may now belong to someone else. Our reading: don't send order details to a number until the customer confirms it is them.
